The Volunteer Clearance Process

Volunteers are considered staff and part of our team. As such you will need to go through several steps before you are actually able to start volunteering. The entire process from time of interview to receiving one’s badge and uniform should take no more than four weeks to complete. The successful completion of the clearance process will help to insure that you are fully prepared to volunteer at Baystate in a safe and effective manner.

 

Interview with the volunteer manager

Interviews are booked in advance by calling 794-4210.  The typical interview is ½ hour long.  By the end of the interview the applicant will know when and where they are volunteering.  They will have completed an application and filled out information giving us permission to do a criminal background check (required for those 18 years old or older).  They are given information about going through Health Services and also given a reference form to be filled out on their behalf.

 

Background check

Applicants 18 and older are required to go through a national criminal background check. The actual process is handled by a 3rd party –the same company that does background checks for new employees. The process can take two or more weeks. When the applicant is cleared through this process they are notified to go to Health Services as the next step.

 

Health Services

All new volunteers are required to get clearance through our Health Services department. Clearance includes 2 TB tests and checking to insure that the volunteer is immune to measles, mumps, rubella and chicken pox. All volunteers are encouraged to have the annual flu vaccine. In cases where volunteers do not want the vaccine a declination form will need to be signed and if volunteering in a patient care area or building, a mask will need to be worn (during the entire flu season).  Any tests or procedures performed during the clearance process by health services or under their direction will be done at no cost to the applicant.

 

General Volunteer Orientation*

Once the volunteer is cleared from health service they must attend a general volunteer orientation. Orientation is held twice a month, one session in the morning and one session at night. Volunteers select the session that best meets their availability. Sessions run no more than 2 hours and include a lecture format and completion of written documents.  Time is also allotted for questions.

 

Badge and Uniform 

After attending an orientation, the volunteer will call to book a final appointment to obtain their badge and uniform. Appointments are required by security to take the volunteer’s picture and print out their ID badge. Badges and uniforms (with the exception of polo shirts) are the property of Baystate Medical Center and must be laundered and returned at completion of the volunteer service.

 

* In some cases volunteers will also need to attend a unit specific orientation before starting  

   their assignment. Volunteers will be notified of this during their initial interview.
